General Data Protection Regulation 2018 Policy
Mellor Plant UK Ltd holds data on all customers. This is outlined below as part of our duty to comply with the General Data Protection Regulation (GDPR) which came into force on the 25th May 2018
What Personal Data do we have on you?
This includes your name, company name, address, email and telephone numbers. As a customer you are obliged to provide us with this information so that we can provide a service for you.
How do we collect your data?
We will request your information in order to set you up as a customer, we will check with you periodically if the information that we hold on you is correct which is in line with GDPR 2018.
How do we use the data?
We use the data to identify you, your location and access your current or previous invoices.
What is the lawful basis for storing and processing your data?
Usually we use “legitimate interest” as our lawful basis to store and process your data for our actions. This involves us using your data as you would expect, is of mutual benefit and necessary for us to carry out our services to you
We also have a contractual basis to use your data to contact you regarding a service, for example sending an invoice, statement, an estimate or if you have requested our advice.
We will always require your direct consent for us to contact you about anything else.
How long do we store your data?
We are required to store your data for a minimum of 6 years following your last contact with us.
We have appropriate security measures in place to protect your data from being accidently lost, used or accessed in an unauthorised. Electronically your data is stored with password restrictions and up-to-date virus protection. Our electronic back up system and data on ‘paper’ is stored in a locked safe.
You have the right to request or correct any data we hold on you. We have 30days to process your request. If your request is unfounded, repetitive or excessive we may decline to respond to or charge a reasonable fee for it.
You have the right for the data to be deleted fully – we will delete all data that is not legally required. This will not include data we use to identify you in case it is required at a later date
Who do we share your data with?
We only share the minimum of data with third parties which include our debt recovery agency and professional parties such as our accountant, solicitor, bank and insurer
